Welcome

We’re really excited to be welcoming you to LILAC: The Information Literacy Conference 2025 at Cardiff University.

Daily help/support

LILAC Committee members will be wearing purple t-shirts and/or grey hoodies featuring the LILAC logo, plus purple lanyards throughout the day. Local volunteers will be wearing orange lanyards. We’re all here to welcome you, answer questions, help with directions, and to respond to any enquiries or problems you might have; so please do come over and say ‘hello’. There will always be a member of staff on duty at the main Registration Desk on Level 3 throughout the day (details in the Location, registration & refreshment section below).

LILAC Code of Conduct

To help ensure a safe and comfortable environment for everyone, all attendees, speakers, sponsors and volunteers at our conference agree to the LILAC Code of Conduct. The conference committee and organisers will enforce the code throughout the event. Violations can be reported to members of the conference committee or via an anonymous form online.

Location, registration & refreshments

Registration, keynotes, most parallel sessions, and all refreshment/lunch breaks will take place in The Centre for Student Life (CSL). Cardiff University, Park Place, CF10 3BB.

Some parallel sessions will take place in the Main Building (further information below).

There are two entrances to the CSL, and committee members/volunteers will be there to meet you each day.

Conference activities will take place on Levels 1, 2, 3 & 4. Lifts and stairs are available to all floors.

Levels 2, 3 & 4 are booked exclusively for LILAC, but please be aware that the building remains open to Cardiff University students and staff.

Keynotes and some parallel sessions will take place in the Sir Stanley Thomas Lecture Theatre. The main entrance is on Level 2, with another entrance on Level 3: if you are arriving late to a session don’t worry, you will be directed to the Level 3 entrance to minimise disruption for presenters.

There are dedicated accessible spaces for wheelchair users via Level 3.

Registration Desk

The registration desk will be on Level 3 of CSL. Main registration each morning is timetabled as follows:

  • Monday April 14: 08:30 - 09:50 (full conference and day delegates)
  • Tuesday April 15: 09:00 - 09:45 (day delegates)
  • Wednesday April 16: 09:00 - 09:30 (day delegates)

The registration desk itself will be open and staffed daily until 15 minutes after the last session(s) ends.

Decorate your name badge!

When you register you will receive a welcome pack which includes your name badge. Please visit our dedicated table to decorate it! You can include any additional information you’d like to share – pronouns, job role, institution, social media handle etc.

Cloakroom

A staffed cloakroom (Level 2, room 2.27) will be accessible daily from 08:30 until 30 mins after the last session(s) ends. If it is closed when you need access, please come to the registration desk. 

Main Building

Some parallel sessions will be held in the Small Chemistry Lecture Theatre (1.122) on the first floor of the Main Building, directly opposite the CSL. A lift is available in the stairwell. If you are able to use the stairs to access seating in the lecture theatre please do. Some easily accessible seating will be reserved in the front row. Volunteers will be on hand to direct you.

Please take care when crossing the road and please use the pedestrian crossing. If you require any assistance please speak to a committee member, volunteers or email us: help@lilacconference.com.

Refreshments

There are daily refreshment and lunch breaks.

Wellbeing/Quiet room

A dedicated wellbeing/quiet room will be open throughout the conference on Level 1 of the CSL (room 1.29).

Health & safety

If you require first aid assistance, please come to the LILAC registration desk or the reception area in the CSL foyer.

In the event of a fire, leave the building by the nearest available route. The assembly point will be Main Building carpark, directly opposite the CSL.

  • Please note: there will be a routine fire alarm check at 9am on Monday April 14. 

Programme

Please check the Conference Programme page on LILAC website for the most up-to-date programme. Printed copies of the programme are available to view at the registration desk.

Parallel sessions

Parallel session bookings are open and will remain open until the end of the conference, however, we recommend you book on as soon as you can as some sessions have limited places available.

To book onto parallel sessions, or to check which ones you have already booked, log in to your LILAC account and go to the ‘My Conference’ area at the bottom of your account page.

Library tours

Organised library tours feature on the conference programme. However, LILAC delegates are welcome to visit any of the Cardiff University libraries. Details of the libraries available can be found on the Libraries’ website.

WiFi access

Eduroam is available campus-wide, so if you use this at your home institution you should be able to connect using your institutional login details. If you are not able to access Eduroam, a Wi-Fi code can be provided at the Registration Desk.

Social events

Please remember to bring your tickets for social events. You will receive these when you register.

Networking evening and Information Literacy Awards – Monday April 14, 17:30 - 19:30

Our Networking Evening will be held at the National Museum Cardiff, Gorsedd Gardens Road, Cardiff CF10 3NP. The venue is a 5 minute walk from the Centre for Student Life – see getting to the National Museum. Use the main entrance at the front of the building - LILAC Committee members and venue staff will be there to meet you. Accessibility information for the Museum can be found on their page.

Delegates have exclusive access to the Museum for the evening. We will begin on the ground floor. Canapés, welcome drinks and live music will be provided and the evening will feature the presentation of the Information Literacy Award at 18:00. Once the awards have concluded, guests will be directed to the upper level to enjoy browsing the galleries, getting to know fellow attendees and catching-up with friends. A limited open bar service will be provided, after which further drinks can be purchased.

Please note: only clear drinks are permitted in the galleries on the upper level.

Cloakroom facilities will be available, including space for suitcases if you haven’t checked-in to your accommodation yet.

Conference Dinner Party – Tuesday April 14, 19:30 – 23:30

The Dinner Party will be held at the Mercure Cardiff Holland House Hotel, 24-26 Newport Road, Cardiff, CF24 0DD (approximately 15-20 minutes walk from the Centre for Student Life). There is direct access to the venue next to the main entrance, and LILAC Committee members will be there to welcome you. You’ll enter into a bar area which is attached to the main function room. Both these spaces are exclusively for LILAC guests.

There’ll be a drinks reception on arrival from 19:30. There is no allocated seating. A buffet dinner will be served from 8pm: initially, tables will be invited one after the other to visit the buffet. 

Music and dancing will then follow until 23:30.

Photography

Please note that photographs will be taken by designated LILAC photographer(s) throughout the conference. These photos may appear on the LILAC website or in other forms of conference publicity.If you do not wish your photo to be used, please inform a member of the LILAC Committee and/or email us: help@lilacconference.com.

Visitor information

If you are looking for somewhere to take a break there are a few options nearby:

  • Alexandra Gardens is a peaceful oasis amidst the city centre’s civic buildings (3 minutes walk from the Centre for Student Life). 
  • Bute Park this stunning urban park is perfect for a leisurely stroll to unwind and relax (10 minutes walk from the Centre for Student Life).
  • Library staff at Cardiff University are happy to welcome you to look round or to use the facilities in any of our libraries. The nearest to the venue is the Science Library on the first floor of Main Building. The nearby Arts and Social Studies Library is a more accessible option with ramp and lift access to all levels.

Water fountains

Water fountains are available in every building. They should all be clearly labelled, but please ask a committee member, volunteer, or library staff to point you in the right direction.

  • Costa Coffee. Ground floor  of the Centre for Student Life
  • Green Shoots Café, a vegetarian and vegan coffee shop. Main Building (opposite the Centre for Student Life), accessible entrance from the car park.

Park Place (adjacent to the Centre for Student Life)

  • Costa Coffee
  • Subway
  • Greggs

Students’ Union (adjacent to the CSL on Park Place).

These places can either be accessed through the entrance to the Students’ Union on Park Place or from the Senghennydd Road entrance at the back of the SU (there is lift up to the entrance of the building via Park Place).

If, as a result of LILAC you produce any conference reports via journals, blog posts, storify, or any other mechanism we'd like to know! Please send details to Martina at help@lilacconference.com so that we can include details in our conference archive.
